The window you described appears when you install the action "Check the execution of the stage" at the stage of the process.
Regarding the fact that the operator is losing what he needs in the masses, there is clearly some kind of mistake in setting up the boxes. Personally, I have up to 50 new messages per day in boxing, and it’s hard to lose something there. If you hang 200+ processes on a manager and change something in each of them, then it is clear that the communication center is no longer working as intended.
Try to look not in the direction "you need to have a large window before your eyes, come here and do it" but in the direction of reducing the number of useless notifications in the operator's communications center. There will be fewer notifications - important ones will not be lost.

As far as I remember, it is this notification that cannot be forwarded. But you can configure the bp yourself so that the manager writes down the date when he needs to be notified, then proceeds to the "Waiting for notification" stage, at which the action "Change the business process and the stage depending on the fulfillment of conditions for the values of several fields" will be in which you you will compare the date from the field/additional field with the [cdate] variable. When the date entered in the field arrives, the action will work and switch to the "Send message" stage, and there you already configure the action of sending a message somewhere to the manager.
